Urgent work demands attention soon; important work contributes materially to goals or responsibilities. Treating every notification as important destroys the value of the matrix.
Use effort to plan realistic capacity
Two quadrants with the same number of tasks can represent very different workloads. Add rough effort so the plan reflects time demand, not only task count.
Schedule important non-urgent work
The matrix is most useful when quadrant-two work becomes actual calendar commitments rather than a permanent backlog.
